We may collect and process personal data including your name, date of birth, address, telephone number, email address, and emergency contact details. We also collect medical and health information relevant to the assessment and delivery of your care, information provided in correspondence or form submissions, and any feedback or additional information you choose to share with us.
How We Use Your Information
Your personal data is used to arrange and manage appointments, deliver safe and effective clinical care, maintain accurate clinical and administrative records, communicate with you regarding your care and services, and meet professional, legal, and regulatory obligations applicable to healthcare practice.
Your data will only be used for purposes directly related to your care or the lawful operation of Isle Hear Care.
Lawful Bases for Processing
Under the Isle of Man Data Protection Act 2018 and Applied GDPR, we process personal data on the following lawful bases.
Personal data is processed where necessary for the provision of health care and treatment. Health and medical information is processed as special category data where necessary for health or social care purposes and in accordance with professional confidentiality obligations.
We also process data where required to meet legal or regulatory obligations, such as record retention and safeguarding duties. Consent is relied upon where appropriate, for example for sharing information with third parties at your request, for photographs or otoscopy images beyond clinical records, or for optional communications.

Personal data is stored securely using Google Workspace and associated systems that operate within GDPR-compliant data protection frameworks.
Access to personal information is restricted to authorised users only. Appropriate technical and organisational measures are in place to protect data against loss, unauthorised access, alteration, or disclosure.
How Long We Keep Your Information
Clinical and administrative records are retained for seven years from the date of your last appointment, or until the age of 25 for clients under 18, in line with professional healthcare record-keeping guidance.
After the applicable retention period, records are securely deleted or anonymised.
Sharing Your Information
We do not sell, trade, or rent personal data.
Personal information may be shared where you have provided explicit consent, where sharing is necessary for your care such as communication with your GP or another healthcare professional, or where disclosure is required by law, including safeguarding or court obligations.
Your Data Protection Rights
You have the right to access the personal data we hold about you and to request correction of inaccurate or incomplete information. You may also request restriction of processing, object to certain processing, or withdraw consent where consent is the lawful basis relied upon.
Requests for deletion will be considered in line with legal and professional obligations, noting that healthcare records cannot always be erased where retention is required by law.
